Info-Tech LIVE 2026 brought together more than 4,000 CIOs, technology executives, and industry leaders at the Bellagio in Las Vegas for three days of education, networking, and innovation. Centered on the theme Agentic IT: From Hype to Value, the conference featured 200+ analyst-led sessions and workshops, 100+ technology exhibitors and sponsors, and a demanding multi-zone venue requiring clear, real-time navigation.
To support attendee navigation and exhibitor discovery, Info-Tech Research Group worked with Freeman, Cvent, and ExpoFP to deploy an interactive floor plan directly within Cvent Attendee Hub — eliminating the need for attendees to switch between tools and reducing operational overhead for the organizer.
The challenge: navigation across a multi-system event stack
Info-Tech LIVE relied on multiple event technology providers running in parallel. Cvent handled registration, agenda management, and Attendee Hub. Freeman managed event services on the ground. Attendees needed an intuitive way to discover exhibitors, locate sessions, and navigate a busy conference environment — all without leaving the event app.
The organizer also needed to avoid introducing additional manual work or duplicate data management across systems. Any floor plan solution had to integrate with what was already in place rather than add a parallel workflow to maintain.
Deliver a fully branded interactive floor plan embedded inside Cvent Attendee Hub, automatically synchronized with exhibitor and session data, with no additional data entry burden for the organizer.
What the organizer wanted to achieve
The project was built around four clear goals:
- Launch a fully branded interactive floor plan and embed it inside Cvent Attendee Hub.
- Give attendees a single place to locate exhibitors, find sessions, and navigate the Bellagio venue.
- Synchronize exhibitor and session data from Cvent automatically — no duplicate data entry.
- Ensure sponsors gained additional visibility within the attendee-facing digital experience.
The floor plan was tied not only to attendee navigation, but also to exhibitor discoverability and sponsor exposure. A stronger map experience improved all of those outcomes simultaneously while reducing operational complexity for the event team.
ExpoFP's solution
ExpoFP delivered one branded interactive floor plan for the 200-booth event as part of a partner-led implementation coordinated with Freeman and Cvent.
The delivered scope included:
- Branded interactive floor plan with custom design matching Info-Tech LIVE visual identity
- Full wayfinding across all session locations and exhibitor areas within the Bellagio
- Exhibitor directory with search and category filters
- Direct integration with Cvent for automatic synchronization of exhibitor data and event agenda
- Map embedded into Cvent Attendee Hub for a seamless attendee experience
- Ongoing update support throughout the event lifecycle — no client involvement required for revisions
A fully branded interactive floor plan embedded inside Cvent Attendee Hub — combining exhibitor discovery, session wayfinding, and real-time data sync in a single attendee-facing experience with no additional operational workload for the organizer.
How the project was delivered
1. Map build
ExpoFP created and delivered a branded interactive floor plan within 5 business days.
2. Integration setup
The organizer provided Cvent API credentials. ExpoFP configured the integration for exhibitor and session data.
3. Data sync
Exhibitor and session information was synchronized from Cvent and the map was embedded into Attendee Hub.
4. Ongoing updates
Updates were synchronized throughout planning, ensuring attendees always had current information.
5. Live event
The interactive floor plan was live inside Attendee Hub for attendees throughout the event week.
The result: a high-usage navigation and discovery tool
ExpoFP helped transform a complex multi-session conference layout into a clear, high-usage navigation tool embedded directly in the event app.
By integrating directly into Attendee Hub, ExpoFP helped turn the floor plan from a static venue reference into an active navigation and discovery tool. Attendees used the map to locate exhibitors, find sessions, and navigate the venue — while sponsors gained additional visibility opportunities within the digital experience. Organizers avoided manual data entry and duplicate maintenance throughout the event lifecycle.
Why this case matters for ExpoFP prospects
This case is especially relevant for:
- Technology conferences, executive summits, and professional association events managing complex, multi-session venues
- Organizers already using Cvent who want interactive floor plans without adding operational complexity
- Events with multi-tier sponsors looking for additional visibility opportunities within the event app
- Teams evaluating digital wayfinding that integrates with existing event technology ecosystems
- Event tech partners — including event app and registration platforms — looking for reliable, integration-ready floor plan solutions
- Organizers working with Freeman or similar event service providers on partner-led implementations
It demonstrates that ExpoFP can add interactive floor plans and digital wayfinding to an existing event technology stack without increasing manual workload — delivering value for attendees, exhibitors, and sponsors from a single solution.
Final takeaway
Most events treat the floor plan as an afterthought. Info-Tech LIVE 2026 treated it as a core part of the attendee experience. By embedding a synchronized, branded interactive map directly inside Cvent Attendee Hub — delivered and maintained without adding work for the organizer — ExpoFP helped the event team focus on what mattered: running a world-class conference for 4,000+ technology leaders.
